Free GST Invoice Format for Freelancers in India
Sending a proper invoice — not just a WhatsApp message with a number — makes a freelance business look established, and it's what most clients (especially companies, as opposed to individual local businesses) will actually ask for before they pay. Here's what needs to be on it, and when GST comes into play.
What every invoice needs, GST or not
- Your business name and contact details
- A unique invoice number (sequential — don't reuse or skip numbers)
- Invoice date
- Client's name and billing details
- A description, quantity, and rate for each item or service
- Subtotal and total amount due
- Payment terms (due date, accepted methods)
When you actually need to charge GST
Freelancers and small businesses in India are only required to register for GST once turnover crosses ₹20 lakh a year (₹10 lakh in some special category states) for services. Below that threshold, you can invoice without GST — just don't put a GSTIN or GST line on the invoice if you're not registered, since that implies registration you don't have.
Once registered, most freelance services (web design, development, consulting) fall under an 18% GST slab. Add your GSTIN to every invoice once you're registered — it's required for the client to claim input tax credit, and its absence is often the first thing a company's accounts team flags.
Common mistakes
- Skipping invoice numbers or restarting the sequence randomly — makes bookkeeping (yours and the client's) harder and looks unprofessional.
- No due date — "payment expected" without a date is easy for a client to deprioritize.
- Vague line items like "services rendered" — break down what was actually delivered, especially for larger projects.
- Charging GST without being registered, or forgetting to charge it once you are — both create problems at tax filing time.
